Facility Rentals

When the School is not using them, several spaces on our campus are available for rent for events such as meetings, birthday parties, memorial services, and athletic team practices. Please see the room listings below for detailed information about each space. 

Board Room

Capacity: Up to 20 people | Size: 376 sq ft | Price: $90 per hour
Perfect for team meetings, strategy sessions, or small-group trainings, our Board Room offers a flexible setup that can be arranged in board style, clustered tables, or lecture-style seating. A wall-mounted television allows for easy projecting or screen sharing. The attached kitchenette makes it convenient to store and heat lunches or prepare light refreshments for your group.

Gymnasium

Size: 5,950 sq ft | Spectator Capacity: 160 comfortably (180 max) | Price: $100 per hour for space only; $115 with equipment
Our spacious gymnasium is ideal for athletic events, practices, or large group activities. It features six adjustable basketball hoops (8–10 ft), a middle-school-sized basketball court, and a full-size volleyball court with a net and referee stand available upon request. Pullout bleachers accommodate up to 160 spectators, creating an energetic atmosphere for games and events.

Lobby

Capacity: Up to 150 guests | Size: 1,843 sq ft | Price: $125 per hour with a 2 hour minimum. Additional hours are $75 each.
With its dramatic two-story, floor-to-ceiling windows overlooking a lush green space, the Lobby is an inviting venue for receptions, presentations, and social gatherings. Natural light and architectural boulders add warmth and character. The flexible layout can be tailored for audience seating, conference setups, workshops, or cocktail-style events with high-top tables. A portable screen and projector are available upon request.

Mosie Auditorium

Seating Capacity: 200 | Size: 3,871 sq ft | Price: $500 with a four hour minimum. $75 for each additional hour.
The Mosie Auditorium is a fully equipped performance and presentation space ideal for lectures, performances, ceremonies, and large meetings. It includes a stage with stage lighting, a full sound system, and three wireless microphones. Lighting is controlled in three racks, and additional sound reinforcement can be arranged for an added fee. To ensure your event runs smoothly, please coordinate with our technical manager in advance.

Pool

Size: 3,485 sq ft | Length: 25 meters | Depth: 3–10 feet | Price: $150 per hour, includes locker rooms
Enjoy our bright and versatile aquatics facility featuring four lap lanes in our 25-meter pool, and a beach-entry recreation area with playful fountain features. The zero-entry side gradually slopes to 3 feet, making it perfect for lessons or family activities. Locker rooms include men’s and women’s changing areas, with private changing spaces available upon request. Renters are required to provide a certified lifeguard.

Soccer & Athletic Fields

Price: Weekend rate is $75 per hour. Weeknights (4:00-7:00 PM) is $850 for ten weeks, 2 nights per week. $1,200 for ten weeks, 3 nights per week.

Our outdoor fields offer flexible space for sports, camps, and recreational events. The main middle-school-sized soccer field is lined seasonally and includes full-size goals, while the adjacent auxiliary field provides additional practice or event space. Both fields are well-maintained and ready for use throughout the athletic season.

Policies

Payment Schedule

All payments must be made to The Pilot School at least one week before the event. Cancellations must be made within 24 hours of the scheduled rental start time. There is a $200, nonrefundable holding cost due with the signed contract for all rentals.

Insurance

The rental group must submit a certificate of insurance that provides a minimum of $1,000,000 aggregate liability coverage, with The Pilot School named as an “additional insured.”

Timing

Rental requests must be submitted at least three weeks in advance. Requests made after this may result in additional fees. Rentals are scheduled on a first come, first serve basis.

All setup and cleanup must take place within the rental time frame. Field and gym spaces are booked back-to-back; thus the rental time frame includes setup, cleanup, warm-up time, etc.

No loitering is allowed on campus before or after the rental time. Everyone must vacate the premises within 20 minutes of the end of the rental time.

Expectation

Rental groups must remove all property upon leaving the premises. No equipment or catering is available. Tables and chairs can be provided on request at cost to the rental group.

Smoking, alcohol, and drugs are not permitted on the campus.

Pets are not allowed on campus at any time, including on athletic fields.

Inclement Weather

When the School is closed due to inclement weather conditions, all facilities will be closed including the gymnasiums. Call the the main school number at 302-478-1740 to confirm closures.

Medical and Health Needs

Rental groups assume all financial, legal, and medical responsibility for their staff, invitees, and attendees and must ensure that the designated representative responsible for medical needs has current first aid and CPR certification. The rental group must provide any medical equipment need for participants. The School will not make medical equipment available (e.g., inhalers, Epipens, etc.) except for the AED.
